Code of Business Conduct

Our Code applies to all employees, contractors, and board members. We also expect our suppliers, consultants, and partners to align with these standards. We lead with integrity, own our impact, and speak up when something doesn’t look right.

Anti-Bribery & Corruption

Zero tolerance means zero tolerance. No one at Botanical Oils may offer, give, solicit, or accept anything of value to improperly influence a decision. Facilitation payments are prohibited. We conduct risk-based due diligence on agents and intermediaries, keep accurate books and records, and provide annual training so the right choice becomes the easy choice. When in doubt—decline and disclose.

Fair Competition

We compete hard and fair. We obey antitrust and competition laws, refuse price‑fixing, market allocation, and bid‑rigging, and never exchange sensitive competitive information with rivals. We gather market intelligence lawfully and act with professionalism at industry events and in every negotiation. Our success is earned, not engineered.

Confidentiality

Trust is our currency. We protect confidential information—formulas, supplier terms, pricing, personal data, and trade secrets—through need‑to‑know access, secure systems, encryption in transit and at rest, and strict data retention and disposal schedules. Third parties receive only what is necessary under written agreements. We never use someone else’s information improperly, and we never share our own without authorization.

Conflicts of Interest

We avoid situations where personal interests could conflict with our duty to Botanical Oils. Outside employment, family relationships with vendors, gifts, or investments that could influence judgment must be disclosed and managed in advance. Transparency protects everyone.

Gifts, Hospitality & Entertainment

Modest, lawful, and infrequent—never to gain improper advantage. Anything beyond a de minimis value or any offer during a tender, bid, or regulatory process requires pre‑approval and documentation. Cash and cash equivalents are prohibited.

Responsible Marketing & Claims

We communicate honestly about our oils, sourcing, and benefits. Claims are substantiated, compliant with applicable regulations, and never misleading. Clear labeling, safe use guidance, and accessible customer support are non‑negotiable.

Risk Management & Compliance

  • Data Governance: We treat privacy as a promise and a duty. Our Data Protection Officer (DPO) conducts quarterly audits to monitor compliance with GDPR, CCPA, and applicable local laws. We apply data minimization, purpose limitation, role‑based access, encryption, vendor assessments, and documented cross‑border transfer safeguards.
  • Product Safety & Regulatory Compliance: We design controls across the product lifecycle—ingredient vetting, specifications, traceability, stability and compatibility checks, batch documentation, safety assessments, and adverse event monitoring. Labeling and claims comply with relevant market requirements.
  • Cybersecurity & Business Continuity: Layered defenses, security awareness training, phishing simulations, and an incident response plan protect our people and data. We test recovery procedures and maintain continuity plans for critical operations and suppliers.
  • Training & Audits: Ethics, anti‑bribery, privacy, and product safety training are delivered on hire and refreshed regularly. Internal audits verify controls; corrective actions are tracked to closure with executive oversight.

  6. Human rights and community respect: Engagement with local communities, protection of land and cultural rights, and grievance mechanisms that lead to remedy.
